Insight2Uni Mentor Induction

Congratulations on your new role as an Insight2Uni Mentor. We're getting in touch on behalf of the WithInsight team to process the paperwork needed for you to start your role.

We are looking forward to working with you over the coming months to raise aspirations and provide knowledge and insight to prospective students.

In order to confirm your role, we now need you to complete each of the steps detailed below.

This process in its entirety should take you no longer than 30 minutes to complete

HR Paperwork

To confirm your new role, we now need you to complete your HR paperwork, which has a number of elements: Right to Work Check, Contract Form (SS4) and Bank Details Form. You will also need to complete a DBS (Data and Barring Service) check, please see the details for this below.

It should take you no longer than 30 minutes to complete this process.

You will not be able to begin working until you complete this process, so please do this as soon as you can.

Accessing your documents

You should by now have been sent a link to a SharePoint folder containing the following documents:

  • Right to Work Compliance Statement
  • Contract - SS4 form
  • Bank details form

The following sections explain how to complete each of these forms. Please do take some time to read each of these in detail and complete the necessary actions.

Right to work checks

We need to check that you have the right to work in the UK.

You must carry out a right to work check before you commence any paid work. Please follow the process below depending on whether you are a British or Irish citizen or from elsewhere.

British & Irish citizens:

If you are a British or Irish citizen, we will need to check one of the documents in this list

For most of you, this will be your Passport.

Please take a clear, colour photo or scan of your chosen document and copy it onto the 'RTW-Compliance-Statement' document in your folder. You do not need to complete any other part of this form.

Please ensure you have attached a copy of your passport to your document before you attend the training.

All other nationalities:

If you are not a British or Irish citizen, we will typically check your right to work through the online checking service:

https://www.gov.uk/prove-right-to-work

Please use this site to generate a share code which you will need to share with us along with a scan of your passport & visa type.

Please take a photo / scan of the relevant documents, and copy them onto the 'RTW-Compliance-Statement' document in your folder. Please also add your share code below the copy of your document so that we can check using the government portal.

To use the share code site, you will need one of the following:

  • your biometric residence permit number
  • your biometric residence card number
  • your passport or national identity card

In person check

You will also need to present your document(s) in-person so they can be checked by a member of staff.  Please bring it to be checked on campus on Tuesday 3rd March, between 16:00-17:30 in Michael Sadler SR (B.49). Please let the team know if you cannot attend this appointment at [email protected].

Contract - SS4 form

Next, we need you to complete your SS4 form, which forms your employment contract.

You can find your SS4 form in your folder.

Once you have completed the form, it should automatically save in your folder.

Payroll - bank details form

You now need to complete your bank details form, so that we can pay you for any work undertaken as part of this role.

DBS (Data and Barring Service) check

As part of our commitment to safeguarding young people and students who take part in our activities, all our student workers must complete a DBS Application for the Disclosure and Barring Service. This is to check the suitability of those seeking to work for us, as you are in positions of trust.

You will need to bring the documents you use for your DBS check with you to your in-person check on Tuesday 3rd March between 16:00-17:30 in Michael Sadler SR (B.49). You will be required to present us with ORIGINAL documents, not photocopies or printouts. Information about what documents you can use can be found here.

You will not be able to undertake any outreach work with young people until your DBS check is complete and we are satisfied with the outcome. We would therefore advise getting organised and completing actions ASAP. The main hurdle for our student workers, due to having temporary term-time addresses, is collecting documents to support your application and matching these correctly with the current address you list on the application.

Accepting your role

Once you have completed your paperwork, you need to email us to let us know, and to accept the role.

As a reminder, the forms you need to complete, by following the link to a folder that has been shared with you, includes your:

  • Right to Work compliance statement (with your right to work document photo / scan copied onto it)
  • Contract - SS4 form
  • Bank details form

Once you have completed these forms, they should save automatically in your folder.

Once completed, please email [email protected], with the subject line in the format 'FIRST NAME LAST NAME - INSIGHT2UNI MENTOR - ROLE ACCEPTANCE). e.g. JOE BLOGGS - INSIGHT2UNI MENTOR- ROLE ACCEPTANCE, letting us know that you accept the role and have completed the relevant paperwork.
